Estimates and written quotations

Published costs and calculator results are planning estimates. They do not confirm a hotel's current tariff, room availability or wedding package. The total depends on dates, room categories, room nights, guest count, meals, event spaces, taxes and other inclusions.

Ask for a written, dated proposal showing the full scope and validity. When comparing two offers, use the same stay dates, occupancy, meal plan, event requirements, taxes and cancellation conditions. A lower headline room rate may cover a different arrangement.

Enquiries, holds and bookings

A submitted form, downloaded guide or shortlist does not reserve a hotel, hold rooms or confirm an event space. Ask the team to confirm availability, any hold deadline, the contracting party, payment schedule, cancellation or room-release terms and booking status in writing.

Confirm the service scope

Specify whether you need venue sourcing, hotel room blocks, coordination or additional planning support. Ask which responsibilities and fees are included in your proposal, and which remain with your own planner, the hotel or other suppliers.

Hotel facts and social previews

Property inventories, names, facilities and event policies can change. A published room count is not the number necessarily available for your group. A maximum venue capacity is not a seated-dinner layout with a stage and dance floor. Check the hotel's current information and request a layout for your celebration.
