The bad news: you must compress decisions, accept some venue/date constraints, and skip a few "nice to have" elements that 12-month couples include.
This guide is a realistic week-by-week 6-month plan based on 60+ destination weddings we have executed on short timelines since 2006. It is not the "official wedding planner checklist" you read elsewhere - it is what actually works when you have only 26 weeks. We will also be direct about what compromises are realistic versus the 12-month standard.
Realistic Constraints of a 6-Month Destination Wedding
Before the checklist, accept these constraints upfront. Pretending they don't exist leads to last-minute disasters:
- Iconic palaces probably won't be available. Oberoi Udaivilas, Taj Lake Palace, Taj Rambagh Palace, Umaid Bhawan Palace book 12-24 months ahead for peak dates. You will pick from premium 5-star alternatives.
- Peak muhurat dates probably won't be available. November 21-26, December 2-12, February 5-26 at top venues are gone by 12 months out. You will likely pick shoulder dates (October, mid-March, late January).
- Celebrity vendors probably won't be available. Stories by Joseph Radhik, top decorators like Devika Narain or Aksh book 9-12 months ahead. You will use second-tier excellent vendors (still very high quality).
- Custom invitations and trousseau will be tighter. 6-week tailoring on custom outfits is the absolute minimum - couples planning 6 months out should commit to designer outfits by month 2.
With those accepted, here is what 6 months looks like.
Month 1 (Weeks 1-4) - Decisions, Venue, Date
Month 1 is the most consequential. Every delay here cascades into worse choices later.
Week 1: Lock the foundational decisions.
- Confirm total budget envelope (with 10% contingency)
- Confirm guest count target (with 10-15% padding)
- Pick destination region (Rajasthan / Goa / Kerala / Gulf - decide one)
- Pick number of event days (2 vs 3 - decide one)
- Pick aesthetic direction (palace / fort / beach / resort - decide one)
Most couples spend month 1 debating these decisions - which kills the project. With 6 months, you must lock these in week 1.

- Receive venue confirmation in writing with cancellation policy
By end of month 1, you must have: venue locked, date locked, deposit paid, budget allocated by line item.
Month 2 (Weeks 5-8) - Major Vendors + Guest List
Weeks 5-6: Photography and decor.
- Engage photographer/videographer - second-tier excellent options if first-tier unavailable (Mahatta Studios, Knotting Bells, Stories Wedding Films are excellent at Rs.6-12 lakh range)
- Engage decorator with shortlist of 3 from venue-approved vendor list
- Lock decor concept and mood board
- Pay decor 30% deposit
Weeks 7-8: Guest list finalization + invitations.
- Finalize guest list (with both families)
- Send save-the-date communications (email/WhatsApp acceptable for 6-month timelines)
- Engage invitation designer - go digital-first if timeline is tight
- Lock entertainment (DJ, sangeet performer, dhol/horse for baraat)
Month 3 (Weeks 9-12) - Catering, Bar, Logistics
Weeks 9-10: Catering menu + bar planning.
- Meet venue F&B team in person or via video call
- Plan menus for all 5+ events with venue chef
- Set bar package (premium vs standard) - budget Rs.6-25 lakhs for 200 guests
- Set per-plate budget envelope - lock with venue
- Account for vendor meals (typically 50-70% of guest plate rate)
Weeks 11-12: Trousseau and bridal planning.

Month 6 (Weeks 21-26) - Final Coordination, Travel, Wedding Week
Weeks 21-22: Final guest coordination.

Realistic compromises that won't damage the wedding:

- Second-tier excellent vendors: Mahatta or Knotting Bells instead of Stories by Joseph Radhik. Cost Rs.6-12 lakhs vs Rs.15-25 lakhs.
- Digital invitations: Beautiful digital save-the-dates + custom WhatsApp invites instead of letterpress paper invitations. Saves 4-6 weeks and Rs.50,000-3 lakhs.
- Standard menus instead of premium signature: Saves Rs.1,500-3,000 per plate = Rs.6-12 lakhs across 200 guests.
- Locally sourced flowers vs imported: Marigold, rose, jasmine, gerbera instead of orchids, peonies, hydrangeas. Saves Rs.5-15 lakhs.
- Standard photography packages: 2-day coverage instead of pre-wedding + post-wedding extras.
What NOT to compromise:
- Quality of bridal outfits: The bride's wedding outfit is the single most-photographed element. Lock with designer by month 2.
- Photography reliability: Cheap photographer = wedding memories lost forever. Spend the Rs.6-12 lakhs minimum on established photographers.
- F&B quantity and quality: Guest food memory is the second-most-discussed element of weddings. Don't reduce F&B budget below 22% of total.
- Bridal makeup artist: Same as outfit - this is the bride's primary visual presentation. Book the best you can afford.
- Wedding planner or venue concierge support: 6-month timelines require professional coordination. Self-managing leads to last-minute disasters.
Common 6-Month Planning Mistakes
- Delaying venue decision past week 4. Every week of delay reduces remaining vendor options. Lock venue by end of month 1.
- Trying to book iconic palace anyway. Oberoi Udaivilas at peak dates is gone 18+ months ahead. Pivoting to Fairmont Udaipur at month 1 gives you a great wedding. Insisting on Oberoi until month 3 then settling for a 4-star resort gives you a worse wedding.
- Underestimating bridal outfit lead time. Lehenga from Sabyasachi, Manish Malhotra, or Anita Dongre needs 12-16 weeks. Start month 2 minimum.
- Ignoring guest visa support for NRI families. Visa letters from venues take 3-4 weeks to process. Start month 2 for international families.
- Overcommitting to celebrity entertainment. A-list celebrity performers (Arijit Singh, Diljit Dosanjh) are typically unavailable on 6-month notice. Pivot to mid-tier excellent artists.
