Short answer: if you need to book 100+ hotel rooms for a wedding, do not start with the hotel front desk and do not assume a full-service wedding planner will get you the lowest rate. Talk to a hotel-rate specialist (also called a room-block or hotel-contract specialist) — someone whose only job is contracting hotel inventory at partner rates, who quotes you the rate with nothing added on top, and who will put competing hotels against each other for your dates.
This is the single most common question we get, and it is usually phrased exactly like this: "I need 100 rooms for my wedding — who do I talk to? The hotel does not give me a real rate, and I do not fully trust a wedding planner." Both halves of that sentence are fair. Here is why, and what to do instead.
Why the hotel’s direct rate is usually not the real rate
When you call a hotel directly for a wedding room block, you reach the hotel sales team. Their job is to protect hotel margin, not to find you the cheapest way to do your wedding. In practice that means:
- You are quoted the rate card (BAR / published tariff) with a modest "wedding discount" applied.
- Room rates are bundled with F&B minimums, venue-hire and decor royalties, so it is hard to see what you are actually paying per room.
- The hotel has no incentive to tell you that a comparable property 20 minutes away is 30% cheaper for the same dates.
- Off-season, shoulder-date and mid-week leverage is rarely offered — you have to know to ask.
Hotels are not being dishonest; they are simply the seller. Nobody in that conversation is representing the buyer.
Why many wedding planners do not get you the lowest room rate
Many full-service wedding planners are excellent at what they do — design, production, execution on the day. But on the hotel line specifically, there is a structural conflict:
- A large number of planners earn a commission from the hotel (typically 8–15% of the booking) or add a markup on the hotel rate they pass to you.
- That means the planner is paid more when your hotel bill is higher — the incentive runs opposite to your budget.
- Planners also tend to route business to a small set of properties they have relationships with, rather than running your dates across the whole market.
This is not an argument against hiring a planner. It is an argument for separating the hotel contract from the event planning — because they are two different jobs with two different incentives.

For a 100-room, 2-night block, the gap between the first row and the third row is routinely several lakh rupees — because accommodation is 25–35% of a destination wedding budget and it is the most negotiable line in the entire contract.
What a hotel-rate specialist actually does
A hotel-rate specialist does one narrow job properly:
- Runs your dates across the market, not one property — pulling competing quotes from every hotel that fits your guest count and budget.
- Contracts at partner/net rates that are not on the hotel website, using volume relationships built across many weddings.
- Separates the room rate from F&B, venue hire and decor so you can see exactly what each line costs and negotiate them independently.
- Uses date leverage — mid-week, shoulder season, and off-peak dates can move the rate 15–40% for the same property.
- Hands you the contract — you still keep your own planner, decorator and caterer choices.
How to know you are getting the real rate — a 5-point check
- Ask for the per-room, per-night rate in writing, separate from F&B and venue hire. If it is only quoted as a bundled package, you cannot compare anything.
- Ask whether the quote includes any commission or markup to the person quoting it. Ask directly. The answer should be a straight yes or no.
- Get at least three properties quoted for the same dates and guest count.
- Check the published rate yourself on the hotel site for those dates — your block rate should beat it, not match it.
- Ask what changes if you move mid-week or two weeks either side. A specialist will have that number ready; a rate card will not.
What 100 rooms actually costs in 2026 (real numbers)

- Value luxury (e.g. Jaypee Palace, Agra from Rs.8,000/night): roughly Rs.16–25 lakh for the block.
- Premium 5-star (e.g. Fairmont Jaipur, Wyndham Grand Udaipur): roughly Rs.40–70 lakh.
- Palace tier (e.g. Taj Rambagh Palace, Oberoi Udaivilas): Rs.1 crore+ for the same block.
Note that many iconic properties have fewer than 100 rooms — Umaid Bhawan Palace has around 70 and Alila Fort Bishangarh has 59 — so a 100-room requirement rules them out unless you split across properties.
